AREA OF RESPONSIBILITY:

Reporting to the Human Resources Business Partner (HRBP), this position works in partnership with HRBPs to respond to leaders, employee and union driven inquiries engaging HR functional areas as appropriate and referring more complex matters to the HRBPs. This position liaises with multiple levels within the corporation to assist in policy/procedural clarification and act as first point of contact for employee issues. The incumbent is responsible for the daily review and administration of employee related transactions before data entry in the HRMS. The incumbent provides administrative support to internal workplace investigations, workplace accommodation requests and integrated disability management including occupational and non-occupational claims coordination.

  1. OPERATIONS SUPPORT
  • Provide day-to-day guidance and support for employees, unions, and management regarding inquiries on HR matters
  • Provide case administration support for the integrated disability management and WSIB claims.
  • Full cycle claims coordination for Short Term Disability and medical review for absences up to 4 weeks.
  • Leads collaboration with core functional HR areas and payroll to resolve HR matters.
  • Work closely with HRBPs to coordinate, research, analyse matters relative to issues and initiatives in support of Employee Relations and client priorities.
  • Prepare offer letters and onboarding packages for all recruitment managed by operating departments.
  • Provide technical and procedural advice in support of departmental initiatives, programs, processes and policies as they relate to compliance, conformance and procedural protocols.
  • Develop and recommend new tools, methods and procedures for improving the quality and efficiency of Employee Relations’ practices and processes.
  • Research, develop and maintain documents and resources on service cards and internal websites as OurBrampton.
  • Provide backup to the HR Assistants in processing for employee data updates to meet established operational deadlines.
  • Review and analyse employee data changes before data entry into PeopleSoft.
  • Lead coordination of mass data changes including establishing operational timelines, analysis of job data, testing and production with Payroll and IT.
  • Support the HRBP with re-organization activities by analysing job data and preparation of related forms.
  • Assists the HRBPs with workplace investigations and resolution of employee relations matters.
  1. CUSTOMER SERVICE
  • Champion excellence in customer service standards and delivery.
  • Respond to internal and external customer requests, issues and enquiries with regards to interpreting applicable policy/program or practice.
  • Where necessary, act as liaison for expediting first-line responses to employee driven requests and inquiries that require escalation.
  • Escalate complex or sensitive matters to the HRBP or appropriate subject matter expert, ensuring consistency and compliance with corporate policies and legislative requirements.
  • Build and maintain a relationship with cross-functional departments, team, management and external stakeholders, to foster and support coordination of objectives while carrying out accountabilities.
  1. COMMUNICATION AND REPORTING
  • Maintain integrity and professionalism while communicating and promoting customer service excellence and HR initiatives
  • Communicate well with a diverse range of people including employees, union representatives and management
  • Research and assist with the preparation of policies, procedures and confidential reports for senior management.
  • Prepare standard correspondence, reports, presentations, statistical reporting, data and other relevant materials as required to meet established timelines.
  1. CORPORATE CONTRIBUTION
  • Maintain knowledge of and advise on proper and consistent application of collective agreements, Corporate policies and practices, legislation, regulations and Standard Operating Procedures (SOPs).
  • Conduct research and analysis using internal and external resources to inform continuous improvement of HR processes and practices to improve service solutions and support operational needs.

SELECTION CRITERIA:

 

EDUCATION:

  • Post-secondary degree/diploma in the field of human resources, industrial relations or business administration with specific training in Human Resources disciplines or equivalent combination of education and experience.
  • CHRP designation is preferred.

EXPERIENCE:

  • Minimum of 3 years’ experience in Human Resources.
  • Experience responding to employee inquiries and providing operational HR support in a unionized work environment.

OTHER SKILLS AND ASSETS:

  • Working knowledge of employment legislation and regulations, including the Employment Standards Act, 2000, Ontario Human Rights Code and Occupational Health and Safety Act.
  • Excellent interpersonal skills including the ability to work effectively in a team environment.
  • Demonstrated experience at providing exemplary customer service and relationship building skills to handle inquiries and resolve issues to meet corporate service standards skills.
  • Organizational skills with attention to detail and ability to meet conflicting priorities and timelines.
  • Computer proficiency in MS Office (Word, Excel, Outlook) and knowledge of HRIS/HRMS (Peoplesoft preferred).
  • Proficiency using HR software programs and databases.
  • Demonstrated ability to exercise significant discretion and sensitivity; and to use consultative and relationship building skills with diverse client groups.
  • Perform additional duties and undertake special projects as assigned

A Qualified List will be established to fill permanent and temporary vacancies for the same or similar positions. The Qualified List will be established for a 6-month period.
