HIRING SALARY RANGE:  $59,910.00 - $67,399.00 per annum

MAXIMUM OF SALARY RANGE:  $74,888.00 per annum

AREA OF RESPONSIBILITY:

Reporting to the Chief Information Officer, this position is responsible to provide administrative support and confidential services in order to maintain a smooth and efficient operation of the department. Liaising with management and demonstrating judgment and independence to meet corporate service standards, best practices, policies and guidelines. 

  • Provide operational support and act as a reference point to meet the demands of management and staff providing them with administrative support and assistance to meet operational needs.
  • Act as a communication channel for organizational notices and provide relevant information to staff to ensure effective communication of impending deadlines and assignments.
  • Provide organized and proactive administrative assistance in support of departmental initiatives, programs, processes, projects and events, including correspondence, documentation and answering enquiries to meet operational needs and corporate service standards.
  • Provide scheduling and logistical support. Ensure daily itinerary is current, discuss priorities and maintain calendar, email, correspondence, and/or other related requests that require immediate attention on behalf of department management and team.
  • Organize meeting requests, attendance, or other related requests; book and arrange conference rooms, resources, travel arrangements, conference registration, accommodation, and refreshments or as required in support of a smooth and efficient meeting by minimizing scheduling conflicts.
  • Responsible to provide customer service. Respond and log internal and external customer enquiries, prioritize requests, respond accordingly and escalate for resolution as required to meet corporate service standards.
  • Prepare standard correspondence, forms, presentations, statistical reporting, data entry, requisitions, etc., track and run reports as required accurately by established timelines.
  • Take meeting minutes, prepare and distribute agenda and minutes of meetings by established timelines and ensure that all necessary files and information are available in support of a smooth and efficient meeting.
  • Maintain up-to-date files, documentation and correspondence using the corporate filing system and ensure necessary sign-offs and approvals meet policies and confidentiality.
  • Act as a conduit for the efficient flow of invoice, payroll and requisition processing as required to meet established timelines, policies and guidelines.
  • Use of effective resource and expense management at all times to meet corporate policies and guidelines.
  • All other duties as assigned.

 

SELECTION CRITERIA:

 

EDUCATION:

  • Post-secondary certificate or diploma in Office Administration or equivalent in related field

EXPERIENCE:

  • 2-3 years experience; Administrative support preferably in both public and unionized environment is an asset

**Various tests and/or exams may be administered as part of the selection criteria.
