AREA OF RESPONSIBILITY:

Reporting to the Supervisor, Community Safety Programs & Planning, this position is responsible for research, data collection and tracking through surveys and other mechanisms, analysis, benchmarking, assessment, and related planning and process to support the development and implementation of reports and projects for the Community Safety & Well-Being Office (CSWO), and particularly those within the Community Safety Action Plan (current and future iterations). The role will act as a central support resource for the entire division and support the role in special projects related to strategic and operational effectiveness and efficiency for the division. This role provides excellent customer service and develops and maintains relationships with internal partners, external stakeholders, and the community. The position requires independent decision-making, the ability to work on multiple projects with varying complexities, and the ability to prioritize and manage a full workload and meet deadlines.

 

 

  1. OPERATIONAL SUPPORT
  • Assist the Division with research, data collection and tracking, analysis, benchmarking, preparing reports and making recommendations regarding community safety and well-being initiatives, particularly those outlined in the Community Safety Action Plan (current and future iterations).
  • Analyse complex data and metrics related to findings from CSWO-led workshops, events, engagements, including those related to community concerns and develops recommendations to address those concerns.
  • Tracks performance indicators related to the Corporate Strategic Plan and Service Plans to ensure accuracy of information and identify trends and results.
  • Analyse data and activities and provides statistics for Council reports, outlining relevant trends and issues.
  • Contribute to including preparation, review, processing and distribution of correspondence, briefing notes, meeting agendas, minutes, actions and presentations.
  • Collaborate with the management team to support on business initiatives, programs, processes, procurement, and projects.
  1. PROGRAM DEVELOPMENT AND SUPPORT
  • Analyze complex program results and develop plans and recommendations related to sustaining existing programs and developing new programs.
  • Interpret data using analytics research methodologies and statistical techniques to enhance service deliveries.
  • Conduct research and prepare ad hoc studies, for example, make recommendations for improved operationalization of existing and future projects and programs.
  • Prepare reports including analysis, benchmarking, and forecasting, with the development of actionable steps to optimize performance.
  • Develop actionable roadmaps for improving workflows and processes in line with the division’s key performance indicators.
  • Administer programs, projects and or processes specific to the operating unit and work to find and create efficiencies in existing processes and metrics.
  1. CUSTOMER SERVICE
  • Provide high quality customer service and commitment by developing collaborative and productive partnerships with internal and external stakeholders including community groups.
  • Responds to inquiries from internal and external customers, handling sensitive or confidential information.
  • Takes into consideration corporate image and public opinion developing projects, programs, and strategies related to the Community Safety Action Plan.
  • Assess data to enhance the efficiency and effectiveness of services and systems.
  • Provide comprehensive informational reports to CSWO leadership team.
  1. ADMINISTRATIVE SUPPORT
  • Provide administrative support to the Community Safety and Well-Being Division team as needed, including preparation, review, processing and distribution of correspondence, briefing notes, meeting agendas, minutes, actions and presentations.
  • Administer corporate purchasing card, petty cash reconciliation, request for travel and expense forms/reports, and sectional/ divisional time entry.
  • Book and arrange meetings, conference and event attendance, resources, travel arrangements and amenities.
  • Coordinate access for new employees, monitor job data for adjustments, and all employee data changes.

 

 

SELECTION CRITERIA:

 

Education:

  • Degree/Diploma in one of the following applicable fields: Administration, Management, Sociology, Criminology, Emergency Management, Public Policy
  • Related training and professional development certificates

 

Experience:

  • Minimum 2-3 years related experience, preferably in public service

 

Other Skills and Assets:

  • Practical knowledge of Municipal, Regional, Provincial and Federal Governments and applicable legislation is an asset.
  • Strong presentation skills; facilitate and convey concepts in a clear and concise manner.
  • Proficiency with statistics and dataset an analytical, with experience collecting, organizing and disseminating information accurately.
  • Proficient use of Microsoft Office.
  • Exceptional written and verbal communication and interpersonal skills with an emphasis on customer service.
  • Able to work independently and as part of a team.
  • Detail oriented, well organized and able to manage time and multi-task, sometimes with conflicting priorities and timelines.
  • Ability to write reports.
  • Must be able to maintain professional composure and make quick and sound decisions when dealing with last minute deadlines.
  • Must be able to communicate in plain language on complex technical issues.
  • Must be able to prioritize tasks and show flexibility and adaptability, especially during high demand periods.
