JOB TITLE:  Payroll Administrator

DEPARTMENT:  Corporate Support Services

LOCATION:  Hybrid Model*– when working onsite, you will report to the location of City Hall

SALARY GRADE:  9

STARTING SALARY:  $1,078.70 per week

JOB TYPE:  Union

AREA OF RESPONSIBILITY:

Reports to the Supervisor, Payroll, delivers accurate and timely payroll processing to employees across various pay groups, including balancing and reconciliation of accounts; responds to employee inquiries and resolves complex payroll related issues.

 

  • Prepares and processes payroll entries and reports across various pay groups utilizing PeopleSoft.
  • Reconciles current Payroll Summary and investigates discrepancies.
  • Calculates Sick Bank Payouts for the ATU, BPFFA and CUPE Outside employees as per their Collective Agreements.
  • Calculates individual retro-active payments.
  • Calculates and prepares manual paycheques and off-cycle adjustments.
  • Prepares deduction/contribution summaries and remittance cheque requisitions for all pay groups on a weekly and monthly basis.
  • Prepares, signs and distributes Record of Employment (ROE) forms.
  • Drafts and distributes correspondence as it relates to employee RRSP transfers.
  • Calculates and prepares a summary of OMERS contribution history for terminated or retired employees and/or employees on disability.
  • Maintains employee benefit and payroll records within PeopleSoft.
  • Responds to internal and external inquiries related to payroll data and processes.
  • Distributes paycheques, direct deposit advices and T4s for all pay groups.
  • Prepares and maintains hard copy file storage of employee and payroll report data using Versatile.
  • Assist with annual Canada Savings Plan campaign.
  • Performs additional similar and related duties as assigned.

 

 

SELECTION CRITERIA:

 

EDUCATION:

  • High School (Grade 12) graduation plus an additional program of up to one year in a Payroll Compliance Practitioner (PCP) program with the following courses: Payroll Compliance Legislation, Payroll Fundamentals 1, Introduction to Accounting, Payroll Fundamentals 2 or equivalent.

 

EXPERIENCE:

  • Over two (2) years, up to and including four (4) years experience in a unionized payroll environment.

 

REQUIRED LICENCE CERTIFICATION:

  • Payroll Compliance Practitioner (PCP)

 

OTHER SKILLS AND ASSETS:

  • Demonstrated experience with PeopleSoft and Microsoft Office Suite.
  • Exceptional communication and interpersonal skills with an emphasis on customer service.
  • Able to work independently and as part of a team.
