JOB TITLE:  Procurement Business Assistant, Purchasing 

DEPARTMENT:  Office of the CAO

NUMBER OF POSITIONS:  1

JOB STATUS & DURATION:  Temporary 4-months 

WORK TERM: May 5 2025 - August 29 2025

HOURS OF WORK:  35 hour workweek 

LOCATION:  Hybrid Model – when working onsite, you will report to the location of City Hall.

HOURLY RATE:  $21.48

JOB TYPE:  Management and Administration

AREA OF RESPONSIBILITY:

            Reporting to the Manager, Procurement Performance promote the most effective use of Corporate funds in the acquisition of goods and                    services and in light of current and future price trends, supply and demand, etc.in accordance with the City's Purchasing By-law.

    • Responsible for conducting procurements, up to procurement estimate value of $100K.
    • Process purchase order amendments.
    • Ensure specific procurements comply with the City’s Purchasing By-law, trade agreements, treaties and supporting policies, protocols and standard operating procedures to achieve the goals of fair, open and transparent procurement opportunities.
    • Identify and assess legal risks associated with procurements in order to minimize/mitigate the City’s exposure to procurement litigation.
    • Review and provide guidance to client departments on Invitational bid documents, bid fo Finish rms, evaluation criteria, contract agreements, terms and conditions, award strategy and procurement process.
    • Ensure Invitational procurements comply with the Supply Chain Diversity program requirements.
    • Analyze bids for compliance with requirements of bid documents, review evaluations conducted by client department and provide recommendations for award.
    • Manage vendors throughout the procurement process, including responding to bid complaints & disputes, enquiries.
    • Maintain client relationships to contribute to the success of their projects.
    • Prepare reports to include Purchase Approval Reports, determine the appropriate signing authority level, and obtain approvals in accordance with the requirements of the City’s Purchasing By-law.
    • Provide contract award notification and prepare contracts for execution.
    • Required to think strategically and look to the long term to identify issues and risks.
    • Maintain a high level of accuracy in performing all duties.
    • Performs additional similar and related duties including administration as assigned.

 

SELECTION CRITERIA:

 

 EDUCATION:

    • Student must be enrolled in any University or College. Proof of enrollment letter will be requested prior to the job offer.
    • Student must be currently enrolled in a Business Administration, Supply Chain Management similar or equivalent program.

 

OTHER SKILLS AND ASSETS:

    • Excellent communications skills, both verbal and written.
    • Possess strong computer skills, e.g. MS Office programs including MS Word and Excel.
    • Ability to prioritize and excellent time management and organizational skills.

 

**Preference will be given to students that have a permanent residency in Brampton.
