JOB TITLE: Program Assistant III, Government Relations 

DEPARTMENT:  Office of the CAO 

NUMBER OF POSITIONS:  2

JOB STATUS & DURATION:  Temporary, 4 months

HOURS OF WORK:  35-hour workweek

LOCATION:  Hybrid Model – when working onsite, you will report to the location of City Hall

HOURLY RATE:  Step 1 $20.21, Step 2 $20.82 

POSTING DATE:  January 23, 2025

CLOSING DATE:  February 6, 2025     

 

AREA OF RESPONSIBILITY:

 

Reporting to the Manager, Government Relations & Public Liaison, provides program and administrative support to the Government Relations Team, part of Strategic Services & Initiatives division, assisting in day-to-day duties. Supports the effective delivery of services and responds to general inquiries received by the section. This role will support the government relations team in preparing reports, presentations, policy guides and templates and  supports the coordination and tracking of policy.

 

  • Support and work as part of the Government Relations team, with a focus on intergovernmental and legislative research on relevant provincial and federal legislation.
  • Assist with preparation for the 2025 Association of Municipalities of Ontario Conference, including preparation of briefing materials.
  • Support ongoing advocacy work and implementation of strategies to support the senior leadership team.
  • Provide administrative support including physical and electronic filing, preparing memos and formatting reports
  • Maintain records, documentation, and prepare reports as required
  • Process online forms and provide support on sectional workflow procedures
  • Assist with data entry and tracking, and maintain data integrity
  • Maintain an understanding of department programs and services
  • Understand and adhere to Corporate Policies & Procedures, Confidentiality Guidelines, Emergency Procedures and Health and Safety  Standards
  • Attend meetings/training as required
  • Work well within diverse groups in support of operational goals and objectives.
  • Demonstrate corporate values at all times.
  • Participate as a member of cross-functional team.
  • Provide support/backup as necessary.

 

SELECTION CRITERIA: 

 

  • Working towards a degree or diploma in Business Administration, Political Science, Public Administration, Law or equivalent or a similar  discipline, or have a related experience or interest.
  • Demonstrated working knowledge of corporate policy specific principles
  • Effective customer service skills and communication skills
  • Effective time management and organizational skills
  • Proficient in Microsoft Office applications including Outlook, Word, Excel, and PowerPoint
