JOB TITLE: Program Administration Officer

DEPARTMENT:  Community Services

NUMBER OF POSITIONS:  1

JOB STATUS & DURATION:  Seasonal, Temporary 4-months ( May to August)

HOURS OF WORK: 35 hour workweek 

LOCATION:  Hybrid Model – when working onsite, you will report to the location of West Tower

HOURLY RATE:  Step 1: $21.48/hr  Step 2: $22.40/hr

AREA OF RESPONSIBILITY:

Reports to the Manager, Executive Operations and Special Projects, provide project, program, and administrative support to the Office of the Commissioner, Community Services team. Ensures efficient and effective delivery of programs and services by providing direct functional support and responds to inquiries for the Office of the Commissioner, Community Services.

    • Provide assistance and support for initiatives, programs, processes, projects, and events.
    • Respond inquiries/concerns and provide information regarding programs and services to meet divisional service standards.
    • Independently fulfills administrative duties as related to area of work, including correspondence, documentation, minute taking, preparing memos and reports, presentations.
    • Supports project leads in the planning, coordination, implementation, and evaluation of divisional policies, programs, special events.
    • Participates in working groups and brainstorming sessions to provide input, ideas, insights.
    • Assist with data entry and management.
    • Perform qualitative/quantitative research and analysis in a technical and/or specialized discipline to identify trends, industry best practices, and opportunities for continuous improvement.
    • Work with both internal and external stakeholders to complete projects, where applicable.
    • Support the Office of the Commissioner, Community Services with leading the coordination of events, outreach, and consultations.
    • Supporting with developing internal systems and process development for special projects and initiatives.
    • Provide support and attend, youth related initiatives and activities led by City of Brampton divisions, when required.
    • Prepare project and program updates for review by management.
    • Maintain confidentiality based on the requirement to access and maintain sensitive sectional or divisional and organizational communication, reports, materials, and records.
    • Maintain an understanding of department programs and services.
    • Understand, adhere to, and enforce Corporate Policies & Procedures, Confidentiality Guidelines, Emergency Procedures and Health and Safety Standards.

 

SELECTION CRITERIA:

 

EDUCATION:

    • Student must be enrolled in any University or College. Proof of enrollment letter will be requested prior to the job offer.

REQUIRED EXPERIENCE:

    • Student must be currently enrolled in a Undergraduate or Graduate Social Work, Social Sciences, Education, Business Administration, Public Administration similar or equivalent program.

OTHER SKILLS AND ASSETS:

    • Demonstrated working knowledge of discipline specific principles.
    • Excellent communications skills, both verbal and written.
    • Possess strong computer skills, e.g. MS Office programs including MS Word and Excel.
    • Ability to prioritize and excellent time management and organizational skills.
    • Practical knowledge of applicable software(s) within discipline.
    • Preference will be given to students that have a permanent residency in Brampton
