JOB TITLE:  Program Administration Assistant

DEPARTMENT:  Community Services

NUMBER OF POSITIONS:  1

JOB STATUS & DURATION:  Seasonal, Temporary 4-months ( May to August)

HOURS OF WORK: 35 hour workweek 

LOCATION:  Hybrid Model – when working onsite, you will report to the location of Fire Department Headquarters

HOURLY RATE:  Step 1: $21.48/hr  Step 2: $22.40/hr

JOB TYPE:  Management and Administration

AREA OF RESPONSIBILITY:

Reports to the Division Chief, Administrative Services, provide project, program, and administrative support to the Brampton Fire and Emergency Services team. Ensures efficient and effective delivery of programs and services by providing direct functional support and responds to inquiries for the Brampton Fire and Emergency Services team.

    • Assists and supports initiatives, programs, processes, projects, and events.
    • Responds to inquiries/concerns and provides information regarding programs and services to meet divisional service standards.
    • Fulfills administrative duties including communications, documentation, meeting minutes, reports, presentations, file management, etc.
    • Supports project leads with planning, coordination, implementation, and evaluation of service delivery, policies, programs, special events, etc.
    • Participates in working groups and works collaboratively with operating teams to provide input, ideas, and insights.
    • Assist with data entry and management.
    • Perform qualitative/quantitative research and analysis in a technical and/or specialized disciplines to identify trends, industry best practices, and opportunities for continuous improvement.
    • Work with both internal/external stakeholders to complete projects and deliver services
    • Provide support and attend youth related initiatives and activities led by City of Bramptondivisions, when required.
    • Prepare project and program updates for review by management.
    • Maintain discretion for confidential information and access to sensitive material (communication, reports, materials, and records, etc.)
    • Maintain an understanding of department programs and services.
    • Understand, adhere to, and enforce Code of Conduct, Corporate Policies & Procedures, Confidentiality Guidelines, Emergency Procedures and Health and Safety Standards.

 

SELECTION CRITERIA:

 

EDUCATION:

    • Student must be enrolled in a University or College program (full-time). A proof of enrollment letter must be presented prior to the job offer.

REQUIRED EXPERIENCE:

    • Student must be enrolled in an undergraduate or graduate program in Social Work, Social Sciences, Education, Business Administration, Public Administration or similar/equivalent program.

OTHER SKILLS AND ASSETS:

    • Excellent verbal and written communications skills.
    • Strong software application skills, e.g. MS Office programs including MS Word and Excel.
    • Ability to prioritize workwith excellent time management, organizational skills and attention to detail.
    • Practical knowledge of applicable software(s) within discipline.
    • Preference will be given to students that have a permanent residency in Brampton.
