JOB TITLE: Project Administration Officer, Corporate Projects

DEPARTMENT:  Office of the CAO

NUMBER OF POSITIONS:  1

JOB STATUS & DURATION:  Temporary, 4 months

HOURS OF WORK:  35-hour workweek

LOCATION:  Hybrid Model – when working onsite, you will report to the location of City Hall

HOURLY RATE:     $21.48 Step 1
                                $22.40 Step 2

AREA OF RESPONSIBILITY:

 

Reporting to the Manager, Corporate Projects, provide project and administrative support to the Corporate Projects team. Ensures efficient and effective delivery of projects by providing direct functional support.

 

  • Provide program assistance and support for processes and projects.
  • Independently fulfills administrative and program duties as related to area of work, including correspondence, documentation, minute taking, preparing memos, reports and presentations.
  • Assist in the coordination of ongoing projects by supporting project tracking, data entry and conducting research efficiently to ensure smooth communication with the management team.
  • Support project leads in the planning, coordination, implementation, and evaluation of divisional policies and programs.
  • Perform qualitative/quantitative research and analysis in a technical and/or specialized discipline to identify trends, industry best practices, and opportunities for continuous improvement.
  • Work with both internal and external stakeholders to complete projects, where applicable.
  • Maintain confidentiality based on the requirement to access and maintain sensitive sectional or divisional and organizational communication, reports, materials, and records.
  • Understand, adhere to, and enforce Corporate Policies & Procedures, Confidentiality Guidelines, Emergency Procedures and Health and Safety Standards.

 

Mandatory Requirements:

 

  • Student must be enrolled in any University or College. Proof of enrollment letter will be requested prior to the job offer.

 

SELECTION CRITERIA: 

 

  • Student must be currently enrolled in a Undergraduate or Graduate Business Administration, Public Administration, Planning and/or similar equivalent program.
  • Demonstrated working knowledge of discipline-specific principles.
  • Excellent communication skills, both verbal and written.
  • Possess strong computer skills, e.g., MS Office programs, including MS Word and Excel.
  • Ability to prioritize and excellent time management and organizational skills.
  • Practical knowledge of applicable software(s) within discipline.
