JOB TITLE: Program Assistant III Realty Services

DEPARTMENT:  Office of the CAO

NUMBER OF POSITIONS:  1

JOB STATUS & DURATION:  Temporary 4-months

WORK TERM: May, 2025 – August, 2025

HOURS OF WORK:  35-hour workweek 

LOCATION:  Hybrid Model – when working onsite, you will report to the location of West Tower.

HOURLY RATE:  $20.21

JOB TYPE:  Management and Administration

AREA OF RESPONSIBILITY:

Reporting to the Senior Manager, Realty Services, provides program and administrative support to the Realty Services section, assisting in day-to-day duties. Ensures effective delivery of programs, services and responds to general inquiries received by the Realty Services section.

  • Provide administrative support as related to the area of work, including set up of new physical and digital filing, transferring the electronic data from Outlook and One Drive to SharePoint and assisting with the backlog of files, archiving, and communicating updates with the team.
  • Update and maintain the Inventory of Leases, Licenses, and Encroachment Agreements in Excel with accuracy of information and attention to detail.
  • Review, verify and input Lease documents, Licenses, and Encroachment Agreements into physical and electronic files and update in necessary database.
  • Verify that all active files contain current insurance documents in both electronic and physical records.
  • Keep track of expired insurance or other required documents from tenants.
  • Perform quantitative/qualitative research to identify information as requested.
  • Assists and provides support with section deliverables including proposals, research, benchmarking, project plans, reports, presentations, and other correspondence.
  • Provide excellent client service, including responding to requests in a timely, accurate, and professional manner.
  • Maintain an understanding of department programs and services.
  • Support key business initiatives and continuous improvement.
  • Understand, adhere to, and enforce Corporate Policies & Procedures, Confidentiality Guidelines, Emergency Procedures and Health and Safety Standards for all participants and staff.
  • Attend meetings/training as required. 

SELECTION CRITERIA:

 

EDUCATION:

  • Student must be pursuing a related post-secondary degree, i.e. business, real estate, property assessment, urban studies, economics, finance, or law.

OTHER SKILLS AND ASSETS:

  • Demonstrated working knowledge of discipline specific principles.
  • Ability to manage multiple priorities.
  • Excellent computer skills, e.g. MS Office programs including MS PowerPoint, Word, and Excel.
  • Strong critical thinking and analytical skills.
  • Strong writing and presentation development skills.
  • Flexibility to travel as required.
