HIRING SALARY RANGE:  $76,866.00 - $86,474.00 per annum

MAXIMUM OF SALARY RANGE:  $96,082.00 per annum

AREA OF RESPONSIBILITY:

 

Reporting to the Supervisor, Parks Administration, this role is responsible to coordinate and facilitate daily workflow activities for the department’s asset maintenance programs, processes and project initiatives.  Responsible to provide daily work direction and support to full and part-time clerical staff to ensure customer expectations and corporate service standards are met; including assisting with training and development as required.  Provide administrative support to the Parks Administration section. Provides direction, guidance and advice to full and part-time clerical staff.

 

  • Coordinates administrative support functions and provides ongoing review, recommendations and information handling to meet corporate service standards.
  • Assesses and provides work direction, including prioritization and scheduling of work activities to meet program delivery within the Parks Administration section.
  • Assists with coordination of staffing requirements of clerical, including support with recruitment.
  • Maintains database of asset maintenance management and provides regular status reports for improvements.
  • Makes recommendations based on observations of daily workflow activities.
  • Develops and oversees staff training on procedures and equipment specific to the asset management work unit.
  • Coordinates equipment, materials and methods of the asset group ensuring the most efficient use of labour, equipment and materials.
  • Assists and performs testing, training, trouble shooting and patch management of the CityWorks and M-5 projects and initiatives, including maintaining PSAB and CityWorks project goals, work plans, timelines and other related project documentation.
  • Prepare reports on current crew status, dashboards, various concerns, budget items, long and short term goals and other departmental issues as they arise.
  • Provides updates to all required CityWorks, M-5 and PSAB data being stored in both desktops and toughbooks, to ensure maintenance standards are upheld.
  • Maintains the established asset inventory, in accordance with the legislated Public Sector Account Board requirements including condition reports to monitor lifecycle replacement programs.
  • Verifies and documents asset values as required and report all collected assets (new, lost, stolen, damaged and changed) to Finance.
  • Maintains knowledge of and adheres to corporate standards and policies, health and safety standards and other related Legislation.
  • Assists in creating Standard Operating Procedures and various business processes and procedures (templates, manuals, Geomedia maps & special projects).
  • Assists in the preparation of annual budgets and keeps track of expenditures to ensure costs are within prescribed budget.
  • Responds to internal and external inquires including resident complaints/concerns ensuring a high level of customer service and professionalism.
  • Provides administrative support and assistance to the Manager of Assets and Infrastructure and the Supervisor of Operations, Planning and Contract Services including time entry, costing of projects and the purchase of materials.

 

SELECTION CRITERIA:

 

EDUCATION:

 

  • Post-secondary degree or diploma in Business Management, Business Administration or equivalent.

 

REQUIRED EXPERIENCE:

 

  • Minimum three (3) to five (5) years related experience, preferably with integrated management systems and knowledge of PSAB 3150 and CityWorks requirements.
  • Supervisory experience in both public and unionized environments is an asset.

 

OTHER SKILLS AND ASSETS:

 

  • PeopleSoft Financials, Asset Management and Geo-Media experience preferred.
  • Exceptional Customer Service and people management skills to meet corporate service standards.
  • Detail oriented, well organized and able to coordinate and multi-task conflicting priorities and timelines.
  • Must possess a valid, non-probationary Ontario Class “G” Driver’s Licence.
  • Must have ability to wear personal protective equipment as required.
