    RECREATION CLERK

     

    POSITION DUTIES:

    It is the goal of the administrative support staff (working within the Program Division) to communicate, provide limited advice and guidance, promote and assist with the delivery of recreation programs and services in a professional, friendly, cost effective and efficient manner. This position reports to the Supervisor, Recreation / Supervisor, Financial Services/Supervisor Community Development.

    • Provide administrative support within the division.
    • Provide customer service and answer questions regarding programs.
    • Process corporate memberships, subsidized memberships and CARE registrations.
    • Respond to concerns from internal and external clients both in person and over the telephone.
    • Process and inputs payroll and ensures that part-time staff submit timesheets to payroll on a timely basis.
    • Create and maintain individual employee files.
    • Input seasonal program details into the CLASS database.
    • Coordinate and support the development of non-CLASS information in the Parks & Recreation brochure and promotional processes.
    • Compile statistical reports, organize appointments, book rooms, draft correspondence, assist with mass mailings, respond to customer complaints and enquiries, attend meetings and record minutes, etc.
    • Work closely with Community Development Events staff and Clean City Program staff.
    • Assist in the coordination and execution of special events and festivals.
    • Back-up coverage is in place during daily breaks, lunch hours, sick days and vacations.
    • Performs additional similar and related duties as assigned.

     

     

    MINIMUM QUALIFICATIONS:

    • High School (Grade 12) graduation plus an additional program of up to one year Administration Certificate or equivalent.
    • Over one (1) year experience in a recreation/office environment.
    • Demonstrated data entry skills.
    • Intermediate to advanced skills in MS Excel, Word and Outlook.
    • Advanced skills in CLASS program maintenance, registration and booking modules.
    • Sound judgment, good decision-making and analytical skills.
    • Exceptional written and verbal communication and interpersonal skills with an emphasis on customer service.
    • Able to deal with confrontational situations.
    • Able to work independently or as part of a team.
