REALTY SERVICES CLERK (1 YEAR CONTRACT)

 

 

AREA OF RESPONSIBILITY:

Reporting to the Sr. Manager, Realty Services, this clerical support position provides general clerical support and services to the division and individual support to other team members as required.

Key Duties and Responsibilities:

In a timely and dependable manner, in accordance with corporate procedure in working with confidential material, and with minimal oversight:

  • Sort, record, distribute mail and materials
  • Handle all incoming and outgoing courier items
  • Create files utilizing versatile and maintain database of all active/inactive files
  • Circulation of Agreements and Document tracking together with getting signatures on various documentation and Council reports
  • Administration of Petty Cash
  • Order office supplies
  • Keep track of matters to be included in Agenda for Team Meetings and prepare and distribute Agendas
  • Attend Team Meetings and record and distribute Minutes
  • Provide administrative support to Coordinators i.e. memos and correspondence
  • Process and report on mileage/meal expenses
  • Assist with payroll, credit card reconciliations statements, collection of lease payments and administration of Integrated Workplace Management Systems for lease administration when required
  • Requisition cheques and other forms of payment for staff memberships, seminars, training, etc.
  • Copy, file, disperse invoices to client department representative for payment from client department accounts
  • Other administrative duties as assigned
  • Respond to internal and external customer requests, issues and enquiries
  • Prioritize requests, direct calls and enquiries to the appropriate level for resolution

 

SELECTION CRITERIA:

  • Two-year college diploma in Office Administration, or equivalent academic credentials
  • Minimum three years’ experience in office administration; experience in a municipal or other government real estate office would be considered an asset
  • Proficient in MS Office Suite Software
  • Exceptional written and verbal communication and interpersonal skills with an emphasis on customer service.
  • Ability to learn new computer programs as required eg. IWMS, Versatile, POS
  • Able to work independently and as part of a team.

** Salary: $22.93 per hour (Temporary Rating)
